Corporate Taxi Accounts in Southampton: How Regular Business Travel Works
How a corporate account replaces a drawer of receipts: agreed rates, priority dispatch, one invoice per cycle with every journey listed, and one person to call.
Published 3 November 2026 by Soton Cars, Southampton. Fares and times in this guide are drawn from our published fare table.
Corporate Travel, On One Account
If your team travels regularly, you already know the real cost of taxis is rarely the fare. It is the administration around it: receipts photographed and lost, expenses argued over, three different firms used by three different departments, and no record anywhere of what the travel actually costs the business. A corporate account exists to remove all of that in one move.
This guide explains how accounts work at Soton Cars: how one is set up, how your team books once it exists, and what lands on your finance team's desk at the end of each cycle. It is written for the office managers and finance staff who run business travel, rather than the people in the cars.
Setting Up: One Conversation, Same Day or Within 24 Hours
Setting up an account starts with how your business actually travels. Tell us, by phone or email, your typical volume, the vehicles you need and your billing requirements. We agree your rates with you, set the account up, and give you a dedicated account manager as your single point of contact. Most accounts are set up on the same day you ask, and always within 24 hours.
From that point your team has online booking access and can book 24/7, with priority dispatch on account journeys. Nothing is paid journey by journey: every booking is logged against the account as it happens, with the passenger, date, route and cost recorded, ready for the invoice.
- Agreed rates, set with the account before travel begins
- A dedicated account manager as your single point of contact
- Set up the same day in most cases, always within 24 hours
- Online booking access for your team, with priority dispatch
- Every journey logged: passenger, date, route and cost
How the Account Runs, Day to Day
Once the account is open, using it is deliberately ordinary. Your team books cars the way they always would, by phone, online or email, at any hour, and the account quietly does the paperwork in the background. Nobody pays the driver, nobody collects a receipt, nobody fills in a form after the trip.
The vehicle follows the journey: a saloon for a commute, an executive car for a client-facing trip, an MPV or minibus when the team travels together. Executive vehicle upgrades are available on the same account for the journeys where the car is part of the impression, subject to availability on the day.
Invoices, Journey Reports and Set Rates
You choose the invoicing cycle that suits your finance team: weekly, monthly or quarterly. Each invoice arrives with a full journey report listing every trip in the period, its date, the passenger and the cost, so the audit trail is complete without anyone chasing drivers for receipts. Bank transfer is our primary payment method, and card payments are also available.
For the journeys you repeat, rates can be set for your regular addresses: the airport, the office, the sites your team visits most. Those runs are then charged at the agreed account rate instead of being quoted trip by trip, and they still appear in the journey report like everything else, so regular travel becomes the most predictable line in the travel budget rather than the least.
What Businesses Put on Account
Most accounts settle into a pattern within the first month. Airport runs lead it: staff, partners and visiting clients moved to and from the airports at the published fares or the account's set rates, Heathrow, our most common business run, starting from £110 in a saloon. Around that sit the daily commutes, the multi-stop roadshows, and client entertainment evenings in executive Mercedes, BMW and Audi vehicles.
Accounts are not only for offices. Healthcare providers run hospital and patient journeys on account with us, including wheelchair accessible bookings, and education providers put staff and student group transport on the same footing. If the travel is regular, it belongs on an account; if it is once a year, it does not need one.
